Sponsorship and Exhibition


The Managing Director of Medicongress graduated as a dietician and was active in different functions within the pharmaceutical industry for more than 16 years.

Taking into consideration our broad introduction and expe­rience in the pharmaceutical world, we are ideally placed for organising exhibitions and handling sponsorship.

Adequate sponsorship strategies are of paramount importance for raising sufficient funds for the organisation of a Congress.

Medicongress takes care of the complete management of the sponsorship and the organisation of the exhibition, i.e.:

  • devise a sponsorship strategy in collaboration with the Organising Committee
  • draw the floor plan
  • preparation of a complete file of the exhibition
  • selling the exhibition spaces
  • management of the finances (invoicing and controlling payments)
  • allocation of booth spaces on a first come, first served basis
  • organisation of meetings with the sponsoring companies and their representatives
  • supervision of technical matters (connections to the electricity grid, water supply,telephone, etc.)
  • decoration of the exhibition area (plants, flowers) and covering the aisles with carpets
  • informing the companies regarding the installation and removal of the stands
  • indication of the company names on the floor of the exhibition area of the Congress Centre
  • preparation of a welcome letter with all last minute information, a programme, a list of participants, etc. for all sponsoring companies
  • preparation of documents with general information and guidelines for the exhibitors
  • supervise the actual installation and removal of the exhibition stands
  • coordination of all deliveries for companies (chairs, tables, flower decoration, spotlights,complete booths, etc.)
  • preparation of the name badges of the company delegates
  • invoicing the companies for all materials ordered during the Congress
  • organisation of the satellite symposiums in collaboration with the sponsors
  • registration of the speakers invited by companies and making necessary hotel and flight reservations
  • invoicing the costs of these speakers to the company afterwards
