Organisational activities


Our task at the congress mainly consists of anticipating problems before they actually occur.

The complete organisation of the congress ispresented in a manual drawn up by Medicongress: the roadbook. In this manual, the complete course and organisation of the congress is registered chronologically. It also serves as a guideline between the client and Medicongress.

Organisation also means contacting all possible subcontractors (interpreters, caterers, hostesses, lavatory attendants,...) and organisations for logistical support (auditoriums,car parks, printing offices, transport companies, hire firms,...).Medicongress compares price offers and controls the quality of services rendered or goods delivered.

Medicongress further guarantees:
  • the reception of guests, speakers and participants
  • the preparation of all name-plates, signs, containing the title ofthe congress, road marks, parking and transport facilities etc...
  • the efficient management of the hostesses on the spot after having instructed them carefully by means of a written manual describing every single task at any specific hour
  • the instruction of all staff members as to slide projection,refreshments, translation, auditorium management, toilets, cloakroom...
  • the correct and timely course of meals, coffee breaks,...
  • the management and supervision of all evening activities such as speakers' dinners, gala banquets, receptions and welcoming gatherings and of all excursions, such as the partners' programme, pre and post congress tours,....
  • the distribution of press kits and the organisation of a press conference
  • ...and above that the good reputation of the organiser of a congress, which is always at stake when organising a Congress, is maintained and by no means tarnished.
